Our Privacy Policy

This policy explains what personal information we collect through this website, how we use it and the choices you have. Last updated: November 2026.

Who we are

This website is run by Applied Image Limited, company number 04468032. Our registered office is 16 Heronsgate Trading Estate, Paycocke Road, Basildon, Essex, SS14 3EU.

We are responsible for the personal information you give us through this website. If you have a question about this policy or your information, email support@appliedimage.co.uk or call 01376 342580.

What we collect

  • Contact form: your name, email address and message, plus your company name and phone number if you choose to give them.
  • Calls and emails: your contact details and anything you tell us when you get in touch.
  • Website use: technical information such as your IP address and browser type, which helps keep the website secure. If you agree to optional cookies, we also collect information about how the website is used.

How we use your information

  • To reply to your enquiry and give you the information or quote you asked for.
  • To provide our services if you become a customer.
  • To keep our website secure and protect it from spam.
  • To understand how our website is used and improve it, if you have agreed to optional cookies.

We do not sell your personal information, and we will not add you to a marketing list without your permission.

Our legal reasons for using it

  • Legitimate interests: replying to enquiries, running our business and keeping our website secure.
  • Contract: providing services you have asked for, or taking the steps needed before we do.
  • Legal obligation: keeping records we are required to keep by law.
  • Consent: optional cookies. You can change your mind at any time.

Who we share it with

We only share your information with companies that help us run this website and our business, or where the law requires us to. These include:

  • Twilio SendGrid, which delivers the messages sent through our contact form.
  • Google, which provides reCAPTCHA to protect our contact form from spam, the fonts used on this website and, if you agree to optional cookies, Google Analytics for website statistics.
  • Our website hosting provider, which stores this website and its data.
  • Our accountants, who may use some of your information when preparing our accounts and dealing with HMRC on our behalf.

reCAPTCHA looks at information such as your device and how you use the page, to tell people from automated programs. Google’s Privacy Policy and Terms of Service apply to this.

Transfers outside the UK

Google and Twilio SendGrid may process information outside the UK, including in the United States. Where this happens, we rely on the safeguards these companies provide under data protection law.

How long we keep it

We keep enquiries for as long as we need them to deal with your request and any follow-up. If you become a customer, we keep your records for as long as we provide services to you, and afterwards for as long as we need them for tax, accounting and legal reasons.

Cookies

Cookies are small files stored on your device. Some are needed for the website to work and to protect our contact form from spam. Others are optional, such as the Google Analytics cookies that measure how the website is used, and we only use these if you agree through our cookie banner. You can change your choice at any time.

Your rights

You have the right to:

  • Ask for a copy of the personal information we hold about you.
  • Ask us to correct information that is wrong or incomplete.
  • Ask us to delete your information.
  • Ask us to limit how we use your information, or object to us using it.
  • Ask us to transfer your information to another organisation.
  • Withdraw your consent at any time, where we rely on it.

To use any of these rights, contact us using the details above. There is usually no charge, and we will normally reply within one month. Some rights have limits, for example where we must keep records by law.

How to complain

If you are unhappy with how we have used your information, please tell us first so we can try to put it right. You can also complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk/make-a-complaint.

We may update this policy from time to time. Any changes will appear on this page.
